This guide will walk you through creating a report based on shared Data Mart in the OWOX extension.
Before you start
After someone shares a Data Mart with you, you'll receive an invitation email containing the Title of the shared DataMart and a short video on how to use the extension.
Install the OWOX extension, if it has not been installed yet, follow the steps below:
- Visit the OWOX: Reports, Charts & Pivots (Sheets, BigQuery) page in the Google Workspace Marketplace and click Install.
- Select the Google account you wish to use, even if it doesn't have BigQuery access.
- Grant the necessary permissions to the OWOX extension.
Note: OWOX encrypts your credentials and never stores data when importing. Learn more about data safety and security.
- After installation, click Done on the Welcome screen.
Step 1: Create Your Report
- In Google Drive, create a new or open an existing Google Sheets document.
- Open the Extensions menu. Navigate to OWOX: Reports, Charts & Pivots and select Add new report.
- In the extension sidebar, select the Project from the first dropdown menu. Then choose the shared Data Mart from the second dropdown (refer to your email for the name).
- Click Add & Run to import data from BigQuery into your sheet.
Step 2 (optional): Filter and Sort Your Data
After running the report, you can add filters and sort the data as needed. Click Run to update the sheet with your changes.
Step 3 (optional): Enable Scheduled Auto-Refresh
Set up a schedule to automatically refresh your data, ensuring your report stays up-to-date.
Step 4 (optional): Generate Pivots & Charts
Automatically create charts and pivot tables with just two clicks. This feature generates one Line chart, up to three Pie charts, one Bar chart, and one Pivot table. Experience the magic of instant data visualization!
You're all set. Happy reporting!
FAQ
Do I need BigQuery access to create reports?
Not necessarily. You can create reports using shared Data Marts without direct BigQuery access.
What if I need to add some additional data to my report?
If certain data isn't appearing, try creating a new report without filters to see all available data (columns in the Google Sheets document). If the required data is still missing, contact the Data Mart author to discuss your needs. They can modify the existing Data Mart or create a new one for you.
Can I edit the SQL query in the Data Mart settings?
No, users without direct access to GCP projects cannot edit the Data Mart configuration in the OWOX extension. If you're proficient in SQL and wish to create your own Data Marts, request direct access to your Google Cloud Platform from your administrator. For more information, read the article about how to add new users to BigQuery.
My report stopped updating. What should I do?
There could be several reasons why your report has stopped updating. In any case, you should contact the Data Mart author because only they can check the settings:
- Access Permissions: Is your account still listed among the people with whom the Data Mart is shared? Someone might have mistakenly removed your account from the list.
- Permissions: Is the correct Google account selected in the Data Mart settings? Perhaps the chosen account no longer has access to BigQuery.
- Data Availability: Does the necessary data exist in BigQuery? Or maybe the SQL code needs to be updated because the data are now located in different datasets or tables.
- Data Updates: Are the data in BigQuery still being updated with new entries? There might have been an error during the data collection stage.
By checking these points, the Data Mart author can identify and resolve the issue to get your report refreshed again.
Can I build charts and pivots with any data, not just from reports?
Yes, you can use any data in your Google Sheets, even if it wasn't imported via the OWOX extension. Learn more about this feature.
